German Versus English Translation for uni-assist

Uni-assist generally permits certified translations in either German or English. Applicants should upload their educational certificates in the original language together with the German or English translation. Which Language Should You Choose?

A translation accepted for a university application is not automatically accepted for every other German authority. Immigration offices, professional-recognition bodies, civil registries and courts may apply different rules.

Do Documents Already Issued in English Need Translation?

When an Indian school, university or examining board has officially issued the complete academic document in English, uni-assist generally does not require another translation. Uni-assist states that certificates officially issued in German or English normally do not need translation, subject to country-specific exceptions. ever, the complete document should be reviewed when it contains:

1. Hindi or regional-language stamps
2. Handwritten remarks in another language
3. Non-English endorsements
4. A bilingual front page but a regional-language reverse page
5. Grading criteria available only in another language
6. A separate regional-language certificate or attachment

Do not assume that a document is entirely in English merely because the principal printed text is in English.

Where only limited content is in another language, the applicant should confirm whether the university will accept a partial translation or expects a complete certified translation of the affected page.

Uni-assist tells Indian applicants to upload both sides when information is printed on the back. It also requires a grading system showing the maximum grade and the minimum grade required for the award of the degree.

Consistent Academic Terminology and Anabin

Anabin is the official German information portal used to provide information about the evaluation of foreign educational qualifications and institutions. It helps authorities, employers and individuals understand how foreign qualifications may be classified within the German education system. n translating Indian academic documents, terminology should be consistent across:

Where relevant, recognised German educational terminology and official reference sources such as Anabin may be consulted for consistency.

However:

▶️ An Anabin entry does not replace uni-assist evaluation.

▶️ Terminology should reflect the source faithfully rather than being rewritten to create a preferred classification.

Example

An Indian qualification title written in Hindi should be translated accurately and consistently. Where useful, the original title may be retained in transliteration or brackets to help the receiving evaluator identify the qualification.

Who May Translate Documents for uni-assist?

The translator does not necessarily have to be physically located in Germany. The important question is whether the translator or institution satisfies uni-assist’s published certification standard.

Uni-assist identifies translations from persons or institutions authorised to translate under oath or whose translations are admissible in court, as well as translations from an authorised department of the issuing educational institution.

“The translator or issuing institution must satisfy uni-assist’s certification rules. Applicants should also verify the requirements of the individual university.”

This wording is accurate, avoids an unsupported geographical restriction and reflects the fact that each university may impose additional requirements.

APS Certificate for Indian Students

The Academic Evaluation Center India—APS India verifies academic documents and educational qualifications issued by Indian institutions for applicants intending to study in Germany.

Uni-assist’s current India guidance asks covered Indian applicants to upload their APS certificate in My assist. Digitally sealed APS certificates should be uploaded as the original, unchanged file. Older paper APS certificates issued before 23 April 2023 may be uploaded as scans for online applications. APS and Translation Are Different Processes

Uni-assist’s India guidance contains several requirements that students frequently overlook.

School-Leaving Qualifications

Applicants with an Indian Class 12 or equivalent school-leaving certificate may need to provide:
🔹The school-leaving certificate

🔹The higher-secondary grading system

🔹JEE Main and Advanced results, where relevant

🔹The APS certificate

Uni-assist states that JEE results are relevant only where the applicant has successfully passed both JEE Main and JEE Advanced. University Studies

Applicants who have studied at an Indian university should generally provide:

• An official transcript or overview of subjects and grades
• Semester or consolidated mark sheets, as applicable
• The degree certificate, where available
• A programme-specific grading system
• The APS certificate

Uni-assist specifically instructs Indian applicants to include both sides when information appears on the back of a document. Provisional Degree Certificates

A provisional degree certificate is not always a permanent substitute for the final degree.

Under uni-assist’s current India guidance:
➡️ It must be issued by a university or autonomous college.

➡️ It is accepted only for 12 months after completion of studies.

➡️ If the final degree has not been issued after one year, the applicant should provide an official university letter stating the expected date of issue or convocation. s is a document-acceptance rule rather than a translation issue. Translating an expired or otherwise unsuitable provisional certificate does not make it acceptable.

Is an Indian Notarised Translation Sufficient for uni-assist?

Notarisation alone does not make an ordinary translation acceptable to uni-assist.

The main issue is not simply whether a notary has signed or stamped the translation. The translation must come from a person or institution satisfying uni-assist’s rules for certified translations.

A notary may verify a signature or certify a copy, but this does not automatically establish that the translator is authorised to translate under oath or that the translation is admissible in court.

The Safe Principle

The translator’s or institution’s authority must satisfy uni-assist’s translation rules. A notarial stamp cannot correct an otherwise ineligible translation.

Whether the university requests an additional certification format

Certified Translation Versus Certified Copy

These are different services.

A translator may certify the translation prepared by that translator. The translator does not thereby certify the authenticity of the original degree, transcript or mark sheet.

Translation for VPD Germany

VPD stands for Vorprüfungsdokumentation, commonly translated as preliminary review documentation.

For universities using the VPD procedure, uni-assist evaluates the applicant’s educational certificates and reports:

▶️ How the applicant’s grade is classified within the German grading system

The applicant submits the VPD request through My assist. After receiving the VPD, the applicant must generally apply directly to the chosen university before its deadline. Uni-assist currently states that VPD processing usually takes four to six weeks after submission of the online application. Translation for a VPD Application May Include

A complete translation package helps uni-assist connect the qualification, subjects, grades and grading criteria. Translation cannot guarantee that a VPD will be issued or that a university will accept the resulting evaluation.

Common Reasons for Delays or Document Problems

1. Uncertified Translation

The translation was prepared by a standard agency without the certification or authority required by uni-assist.

2. Missing Original-Language Document

Only the German or English translation was uploaded.

3. Missing Reverse Side

The front of the mark sheet was submitted, but the grading scale or legend on the back was omitted.

4. Incomplete Transcript

One or more semesters, subjects, credits or attempts were missing.

5. Missing Degree-Award Grading Requirement

The applicant supplied only the subject pass mark rather than the minimum grade required for award of the degree.

6. Outdated Provisional Degree

The provisional degree was submitted more than 12 months after completion without the required university letter.

7. Blurred or Cropped Scan

A signature, seal, document number or edge of the page was unreadable.

8. Untranslated Stamp or Handwritten Entry

Relevant regional-language content was omitted from an otherwise English document.

9. Name Inconsistency

The spelling of the student’s name differed across the passport, degree, transcript, APS certificate or translation.

10. Unofficial Academic Record

The document did not carry the issuing institution’s stamp, signature, automatic-issuance statement or verification code.

11. Missing APS Certificate

The applicant uploaded academic documents but omitted the APS certificate required under the India-specific guidance.

12. Incorrect Translation Language

An English translation was ordered even though the chosen university specifically requested German.

13. Assuming Translation Guarantees Admission

A correct translation supports document evaluation but does not determine academic eligibility or admission.
