Introduction & Scope

At Yashvi Translation, we take pride in the secure and prompt delivery of certified translation documents across India and abroad. Our translation shipping policy ensures complete transparency, reliability, and peace of mind — from order confirmation to document courier tracking. Partnering with trusted carriers such as Blue Dart, DTDC, Speed Post, DHL, and FedEx, we guarantee timely dispatch and safe arrival. For clients outside India, our international document delivery service provides quick and compliant solutions for embassy, legal, and notarial requirements worldwide.

This Shipping and Delivery Policy outline the methods and procedures for the delivery of translated documents/Apostille and related services provided by Yashvi Translation. This policy covers both digital and physical delivery methods, detailing the processes and responsibilities for each.

Digital Delivery (Primary Method)


Digital delivery is our primary and most efficient method for delivering translated documents.

  • Methods of Delivery:

    • Email: For standard documents, colour scans, and digital copies ready for immediate use, delivery will be made via email.
    • Secure Client Portal / WeTransfer: For larger files, sensitive content, and ongoing projects, we utilize a secure client portal or WeTransfer.
    • Secure File Transfer Protocols (SFTP) or Cloud Links: We can also use client-provided or company-managed cloud links (e.g., Dropbox, Google Drive) or SFTP for secure file transfer.
  • Format: Final translated drafts will be delivered in Microsoft Word file format. Certified copies will be provided as a digital colour-scanned version in PDF format.
  • Format: Final Apostille done documents will be delivered in as a digital colour-scanned version in PDF format.
  • Notification: Clients will be notified when their translation/Apostille is ready via email. Updates may also be sent via WhatsApp if a client’s WhatsApp number is available and provided.
  • Archive: Files delivered via WeTransfer will remain accessible for download for a period of 3 days. For other secure portals or cloud links, the accessibility period will be communicated at the time of delivery.

Physical Delivery (If Applicable)

Translation Agency
Physical delivery is an option for clients based on prior agreement, typically for large projects or upon payment of applicable shipping fees.

  • Applicability: Physical delivery is available on a payment basis or when specifically agreed upon for large projects.
  • Shipping Methods & Carriers:
    1. Standard Mail/Speed Post: For non-urgent deliveries within India.
    2. Professional Couriers (India): Blue Dart, DTDC, or other professional courier services are available on a chargeable basis for deliveries across India.

Express Overseas Courier Services: For urgent or highly sensitive physical documents requiring international shipment, we use services such as FedEx, DHL, or UPS. Charges will be determined in real-time based on their respective portals.

Costs:

  • Shipping costs are extra and will be applied based on the chosen shipping method.
  • Express Overseas Courier Services will incur additional charges, calculated by weight, destination, and the specific service chosen.

Timeframes (Estimated):

  • Blue Dart/DTDC (Pan India): Approximately 2-3 business days.
  • Speed Post (Pan India): Approximately 7-9 business days.
  • DHL/FedEx (Globally): Approximately 4-6 business days.

Courier Charges (Applicable for Physical Document Delivery)

Please Note: These are estimated delivery times and are not guaranteed, especially for standard mail or international shipments, which can be subject to unforeseen delays.

Tracking:

Where a tracking option is available, we will provide the docket number or tracking ID, allowing clients to check the real-time status of their shipment directly on the shipping provider’s website.

Risk of Loss/Damage:

The risk of loss or damage to the physical documents transfers to the client once the shipment has been dispatched to the chosen carrier. Yashvi Translation disclaims responsibility for delays, loss, or damage that occurs once the item is in the possession of the shipping carrier. Clients may inquire about insurance options for high-value documents if available through the courier service.

Address Accuracy:

Clients are solely responsible for providing an accurate and complete shipping address. Any fees incurred for re-delivery due to an incorrect or incomplete address provided by the client will be the responsibility of the client.

Proofreading/Final Review Before Delivery

Clients are strongly encouraged to review the translation draft upon receipt (digital or physical) and report any issues or required amendments within a specified timeframe (e.g., 3-5 business days). Subsequent requests for changes or repetitive review procedures may incur additional charges.

Undeliverable Shipments

If a physical shipment cannot be delivered (e.g., returned to sender), the client will be responsible for any re-shipping fees or additional costs incurred.

Customs and Duties (for International Physical Shipments)

For all international physical shipments, clients are responsible for any applicable import duties, taxes, customs clearance fees, or other charges levied by the destination country. Yashvi Translation is not responsible for these charges.
