Spanish Visa Document Translation Checklist By Visa Type

Which Spanish Visa Documents Need an Apostille or Sworn Translation? India Checklist

Student, Digital Nomad, Non-Lucrative Residence and Family Reunification Visas

Applying for a Spanish visa from India? Not every document needs an MEA apostille or official Spanish sworn translation (traducción jurada).

The requirements depend on your visa category, the Spanish consulate handling your application and the document’s purpose.

Before paying for translation, find out:

  • Which documents your visa requires.
  • Which need apostille, sworn translation or both.
  • Which may not require translation.
  • Whether your documents will still be valid at submission.

This guide focuses on apostille and translation preparation. Use your consulate’s complete visa checklist for the remaining application requirements.

Official requirements reviewed: 30 October 2026.

1. Spanish Visa Document Requirements at a Glance

Start with your visa category.

Visa type Documents to check Main preparation requirement
Student visa (over 180 days) PCC, medical certificate, academic and financial records PCC and medical certificates require MEA apostille; Mumbai & Delhi consulate expressly requires sworn Spanish translation
Digital Nomad Visa PCC, employment, company and qualification records Apostilled PCC with sworn translation; check other foreign documents individually
Non-Lucrative Residence PCC, medical and financial records Apostille and official translation where required; verify financial evidence separately
General Family Reunification Marriage/birth certificates, PCC and medical certificate Relationship evidence and applicable authentication and translation requirements

Important: These are not universal translation requirements for every document. The relevant consulate may require additional documents or specify different treatment.

2. Documents by Spanish Visa Type

A. Student Visa — Studies Exceeding 180 Days

For adult applicants planning to study in Spain for more than 180 days, the principal documents requiring attention include in addition to their academic and financial evidence.

Police Clearance Certificate (PCC)

  • Must cover the countries where the applicant resided during the previous five years.
  • Indian PCC must be issued through the Regional Passport Office.
  • Requires MEA apostille.
  • Published validity: six months.
  • Mumbai  & Delhi consulate expressly requires official Spanish sworn translation.

Medical Certificate

  • Must address the public-health requirements under the International Health Regulations (2005).
  • Requires MEA apostille.
  • Published validity: six months.
  • Mumbai  & Delhi consulate expressly requires official Spanish sworn translation.

Academic and Financial Records

Study applications also require evidence of admission, payment of applicable study fees and sufficient financial means.

Depending on the applicant, supporting documents may include degrees, transcripts, bank statements and sponsorship evidence.

The New Delhi guidance specifies signed and bank-stamped statements for relevant sponsorship evidence, but this does not establish a universal sworn-translation requirement for every bank statement.

Before ordering: Confirm which academic and financial documents the consulate or university actually requests.

B. Digital Nomad Visa — Remote Employment or Self-Employment

For India’s digital nomad applicants, document preparation centres on employment, professional qualifications and the foreign company.

Police Clearance Certificate

  • Required for adult applicants, covering countries of residence during the previous two years.
  • Published validity: six months.
  • Indian PCC must be issued through the Regional Passport Office and apostilled by MEA.
  • Arrange official Spanish sworn translation.

Employment and Company Evidence

The official instructions require evidence of a professional relationship lasting at least three months.

An employee’s company certificate must identify the employment relationship, salary and explicit permission to work remotely from Spain.

Applicants also need evidence relating to the company’s establishment and their professional qualifications.

Degree or Work Experience?

The visa provides alternative professional qualification routes: an eligible degree or at least three years of relevant professional experience.

Choose the route supported by your actual qualifications before deciding which academic or experience documents need translation.

A document worth checking: A general employment letter may confirm your designation and salary but omit permission to work from Spain.

Resolve that omission with the employer before commissioning translation.

The standard published DNV checklist also includes health insurance but does not separately list the medical fitness certificate required for certain other residence categories.

Official guidance: New Delhi Digital Nomad Visa | Mumbai Digital Nomad Visa

C. Non-Lucrative Residence Visa — Financial and Personal Documents

This visa is intended for applicants who can reside in Spain without undertaking gainful employment or professional activity.

PCC and Medical Certificate

The published New Delhi and Mumbai instructions specify:

  • PCC covering countries of residence during the previous five years.
  • Six-month validity for PCC and medical certificates.
  • Apostille or legalisation of foreign documents, as applicable.
  • Official Spanish translation where required.

Financial Documents

Applicants must demonstrate sufficient funds for the initial residence period.

The official requirement is 400% of Spain’s IPREM for the main applicant, plus 100% for each accompanying dependent. Confirm the current monetary amounts in the relevant consular guidance.

Supporting evidence may include bank statements and other financial records.

Can a Chartered Accountant’s certificate replace bank statements?

Not automatically.

A CA report can explain financial information, but it does not replace documents specifically required by the consulate.

Before translation: Identify which, financial records must be submitted and which require authentication or official Spanish translation.

Official guidance: New Delhi Non-Lucrative Visa | Mumbai Non-Lucrative Visa

D. Family Reunification — Marriage and Birth Certificates

This section concerns general family reunification for relatives of non-EU foreign residents legally residing in Spain.

Different requirements apply to certain family members of Spanish or other EU citizens.

Marriage and Birth Certificates

The consular instructions require appropriate civil or other recognised evidence establishing the family relationship.

The published general family-reunification checklists specify a three-month validity period for relevant relationship certificates.

Foreign documents must be apostilled or legalised and officially translated where applicable.

PCC and Medical Certificate

Adult applicants generally require a PCC covering countries of residence during the previous five years.

Published validity for PCC and medical certificates is six months, with the applicable authentication and translation requirements.

Check before paying: A hospital record, religious marriage document or affidavit may not serve the same purpose as the required civil certificate.

Confirm the accepted document type before arranging apostille and translation.

3. Documents That May Not Need Spanish Sworn Translation

Do not assume that every document in your visa file needs translation.

Some documents are already in Spanish, while others may be accepted in their existing format, depending on the consulate and procedure.

Document Practical assessment
Indian passport Normally submitted as an identity/travel document without a separate sworn translation
Spanish-language admission or insurance document Usually does not require translation into Spanish
English bank statements Check consular instructions; do not assume a universal exemption
Academic records Depends on visa use, university admission and qualification-recognition requirements
Employment and company documents Assess the document’s purpose and applicable consular translation requirements

Yashvi’s Translation Necessity Audit

Before recommending translation, Yashvi assesses the documents supplied against the intended visa procedure.

The review focuses on three decisions.

1. Is the document required?

A record requested by the university may not necessarily be required in the same form for the visa.

2. Is official Spanish translation necessary?

The answer depends on the receiving authority, document language and applicable instructions.

3. Does the document need authentication first?

Apostille requirements should be established before the final translation package is prepared.

Practical Example: Financial Evidence for a Sponsored Student

Consider a student submitting:

  • A parent’s sponsorship letter.
  • Six months of bank statements.
  • A birth certificate establishing the family relationship.

Each document serves a different purpose.

The bank statements support financial capacity. The sponsorship letter confirms the undertaking. The birth certificate helps establish the relationship.

The correct approach is to review each document separately rather than automatically translating everything or excluding documents solely to reduce costs.

This is an illustrative assessment example, not a reported outcome from a particular client assignment.

4. Apostille, Document Validity and Certification Checks

Complete Authentication Before Final Translation

Where an apostille and Spanish sworn translation of the authenticated document are both required, the usual practical sequence is:

Original Document → Required Authentication / MEA Apostille → Spanish Sworn Translation

For example, translating a PCC before its required apostille is issued may leave the apostille information outside the certified translation.

Completing authentication first helps avoid supplementary translation work.

Check Document Validity

The published instructions reviewed for this guide include:

Document / visa category Published validity
Student visa PCC and medical certificate for applicable long stays 6 months
Digital Nomad Visa PCC 6 months
Non-Lucrative Residence PCC and medical certificate 6 months
General family-reunification relationship certificates 3 months
General family-reunification PCC and medical certificate 6 months

A document’s validity period is different from the number of years of residence history a PCC must cover.

Practical advice: Do not obtain short-validity certificates too early while other documents remain incomplete.

Check Sworn Translation Certification

When official Spanish sworn translation is required, verify that the translation is issued through an appropriately recognised route and meets the required certification format.

For MAEC-appointed translators, check the official translator details, prescribed certification and applicable paper or electronic signature requirements.

5. New Delhi vs Mumbai: Why Jurisdiction Matters

Indian applicants must follow the Spanish consular instructions applicable to their place of residence and visa category.

Requirements should not be assumed identical across New Delhi and Mumbai.

Example — Student Visa

New Delhi’s published instructions specify an MEA-apostilled Indian PCC and medical certificate for relevant stays. This does not establish a blanket translation exemption for New Delhi applicants.

Mumbai’s instructions expressly mention official Spanish sworn translation of these documents.

Submission procedures can also differ. For example, the published New Delhi non-lucrative residence instructions direct applicants to the Consular Section by prior appointment, while Mumbai lists submission through BLS visa application centres.

Before preparing your documents, confirm:

  • Your consular jurisdiction.
  • The correct visa category.
  • The applicable document checklist.
  • Authentication and sworn-translation requirements.
  • The current submission procedure.

Use the official consular instructions rather than relying exclusively on an older checklist from a consultant or another applicant.

Final Document-Readiness Checklist

Before attending your visa appointment, confirm:

  • Correct visa category: The checklist matches your intended Spanish visa.
  • Consular jurisdiction: You are following the applicable New Delhi or Mumbai instructions.
  • Document completeness: All required originals, copies, reverse sides and supporting records are available.
  • Validity: PCCs, medical certificates and civil records meet the relevant issue-date requirements.
  • Apostille: The correct documents have been authenticated where required.
  • Sworn translation: Every required document has the appropriate official Spanish translation.
  • Translator authorisation: The certification has been issued through an officially recognised route.
  • Consistency: Names, dates, registration numbers and relevant endorsements have been checked against the source documents.
