Need a certified passport translation for immigration, a visa application, citizenship, legal proceedings, employment, banking or another official purpose?
Yashvi Translation provides professional passport translation services in India for passport biodata pages, observations, endorsements, visas, residence permits, entry and exit stamps, handwritten annotations and other relevant passport content.
We translate passports and passport pages into English, German, Spanish, French, Italian and other languages, with the translation format prepared according to the destination country and receiving authority.
A passport does not automatically need to be translated simply because it was issued by a foreign country. If the relevant passport information is already in a language accepted by the receiving authority, translation may not be necessary.
The important questions are:
Which passport pages are you submitting?
What language appears on those pages?
Where will the passport translation be used?
Does that authority require certified, sworn or another form of official translation?
[Upload Your Passport Pages for Review]
A certified passport translation is a complete translation of the relevant textual information contained on a passport page, accompanied by the certification information required for its intended official use.
Depending on the destination authority, the certification may contain:
The translation does not replace the passport itself.
Your original passport remains the travel or identity document. The translated version is supporting evidence that enables an authority to understand the relevant foreign-language content.
The price of a passport translation service depends mainly on:
number of pages + source and target language + amount of content + number of stamps/visas + certification format + sworn-translator requirement + urgency + physical-copy requirements.
A single foreign-language biodata page is different from translating:
one biodata page + eight visa pages + 20 immigration stamps + handwritten endorsements.
For an accurate quotation, send the actual pages you have been asked to provide.
This also lets us identify whether you are about to pay for unnecessary pages.

Step 1 — Upload the Required Passport Pages
Send clear colour scans or photographs.
Include every page the authority has asked you to submit.
Step 2 — Tell Us Where the Translation Will Be Used
For example:
USCIS | NVC | IRCC | UKVI | Australia | German Authority | Spanish Authority | Court | University | Bank
Step 3 — Page and Requirement Assessment
We determine:
which pages contain foreign-language content → target language → certification type → readability → relevant stamps/endorsements
Step 4 — Professional Translation
The translator handles the required identity data, observations, visas, stamps, annotations and other relevant text.
Step 5 — Identity Cross-Check
Particular attention is given to:
names → passport number → dates → nationality → place names → visa details → immigration stamps
Step 6 — Certification
The translation is supplied with the appropriate certification format for the intended use.
Step 7 — Delivery
Receive the certified translation electronically, with physical copies available where requested.

A passport submitted for an ordinary Spanish visa does not automatically need to be translated into Spanish.
For example, current guidance from the Consulate General of Spain in Mumbai for a Schengen visa asks applicants for a valid passport and copies of pages containing biometric information, previous visas and migration stamps; it does not state that an Indian passport’s standard biodata page must automatically be translated into Spanish.
This is an important people-first distinction.
Do not pay for a sworn Spanish translation of your passport merely because your destination is Spain.
However, where a Spanish authority specifically requires a foreign document to be translated officially, the required format may be an official/sworn translation into Spanish. Spanish national-visa guidance repeatedly uses official/sworn translation requirements for relevant foreign documents.
Tell us the exact Spanish authority and procedure before ordering.

| Authority / Application | Passport Translation Requirement | Important Points |
| U.S. National Visa Center (NVC) | Documents not in English or the official language of the country of application generally require a certified translation. | Translator should confirm accuracy and competence. Upload the original-language document and certified translation together, with the original first. Include front and back where stamps, seals or writing appear. |
| USCIS vs NVC | Requirements should be checked separately. | USCIS and NVC are both part of U.S. immigration processing, but their document-submission rules should not automatically be treated as identical. |
| Canada – IRCC Immigration Applications | Documents not in English or French generally require an appropriate translation. | Depending on the applicable IRCC requirement, translation may need to be completed by a certified translator or supported by an affidavit. Foreign-language stamps and seals must also be translated. |
| Passport Pages for IRCC | Translation may be required when passport pages support identity, residence, immigration status or travel history. | This can include visas, entry/exit stamps, previous nationality or residence information and other relevant passport content. |
| Who Cannot Translate for IRCC | Certain people connected with the applicant cannot act as translators. | Restrictions may apply to specified family members, representatives and consultants. |
| Canadian Passport Applications | Supporting documents not in English or French must be translated according to Passport Canada requirements. | Rules differ for certified professional, non-certified professional and qualifying third-party translators. Self-translation and translations by family members are not accepted. |
| Key Distinction | Canadian passport applications and Canadian immigration applications have different documentary rules. | Always follow the requirements of the specific authority and application type rather than assuming one translation standard applies everywhere. |
A passport generally needs translation when a page being submitted as evidence contains information in a language that is not accepted by the receiving immigration authority, embassy, court, university, employer or other institution.
You may need a passport translation when:
You may not need to translate the passport when all relevant information is already clearly provided in an accepted language.
This distinction can save applicants from translating pages that an authority never requested.
1. Translating the Name Differently From the Passport
▶️ The translated document says Aleksander, while the passport’s official Latin spelling says Aleksandr.
▶️ Identity documents should be cross-checked carefully before finalization.
2. Translating Only the Biodata Page When Travel History Is Required
▶️ The authority may also have asked for visa and immigration-stamp pages.
3. Translating the Entire Passport When Only One Page Is Needed
▶️ More translation is not automatically better. Follow the documentary requirement.
4. Ignoring Entry and Exit Stamps
▶️ Foreign-language stamps may be important where travel or residence history is being assessed.
5. Guessing an Unclear Stamp
▶️ A blurred date should not be invented.
6. Confusing Certification With Notarization
▶️ The correct certification depends on the receiving authority.
7. Using the Wrong Country’s Translation Format
▶️ A USCIS-certified translation does not automatically satisfy a German sworn-translation requirement, and a Spanish sworn translation is not automatically necessary for UKVI.
8. Recreating the Passport as Though It Were a New Official Passport
▶️ A translation should present the content clearly while remaining obviously a translation, not a substitute or counterfeit version of the original travel document.
UK immigration guidance generally requires documents not in English or Welsh to have an appropriate certified translation.
Current Skilled Worker caseworker guidance states that the translation must be completed by a professional translator or translation company that can be independently verified by the Home Office.
It must include:
confirmation of accuracy + translation date + translator/authorized company official’s full name and signature + contact details.
The same core translation requirements appear in current Student, Graduate, Scale-up and other Home Office caseworker guidance.
Turnaround depends on the number of pages, language pair, legibility, certification requirement and whether specialist sworn translation is required.
Simple biodata-page translations can generally be handled more quickly than passports containing numerous visas, overlapping stamps, faint immigration marks or handwritten annotations.
Urgent passport translation may be available depending on the language and certification requirement.
[Ask About Urgent Passport Translation]
These terms are often confused.
| Requirement | What It Means |
| Certified Passport Translation | Certification relates to the accuracy/completeness of the translated content |
| Certified True Copy of Passport | Certification states that a copy corresponds to the original passport |
| Notarized Translation | A notary performs the relevant notarial act, often relating to a signature or declaration |
| Sworn Translation | Translation prepared under the sworn/authorized translator system applicable in certain jurisdictions |
| Passport Apostille / Legalization Issue | Authentication question relating to the document/copy, not the same thing as translation |
A certified translation does not automatically make the passport copy a certified true copy.
Likewise, notarization does not automatically transform an ordinary translation into a sworn translation for Germany or Spain.
The receiving authority determines what is required.
Not automatically.
Translate the pages that the application requires and that contain relevant information outside English or Welsh.
For example, UK family-visa guidance asks applicants to provide their current passport or travel ID as well as copies of the photo page and visa or entry stamps in previous passports.
If relevant previous-passport stamps contain information in another language, those pages may require attention.
Passport Translation for Australia
Australia’s Department of Home Affairs states that all documents not in English must be translated into English, and both the original and translation should be provided.
For several current visa routes:
Translations completed outside Australia may be prepared by a translator who is not NAATI-accredited, but the translation must include specified information such as the translator’s full name, address, telephone number, qualifications and experience in the language being translated.
Therefore, applicants ordering an Australian visa passport translation from India should not automatically assume that the same certification format used for USCIS is the appropriate Australian format.
A passport translation must not “improve” the underlying document.
We do not:
Translation makes foreign-language content understandable.
It does not modify the legal status, authenticity, expiry date or travel validity of the passport.
We do not guess.
If text is genuinely unreadable, it should be identified appropriately rather than reconstructed from assumption.
An incorrect airport, border post or date could change the apparent travel history.
Certified passport translations may be required in connection with:
| Purpose | Possible Passport Content Required |
| Immigration application | Identity page, visas, endorsements |
| Spouse / family visa | Identity + travel/visit history |
| Permanent residence | Identity and immigration history |
| Citizenship | Current/previous passports and relevant records |
| Work visa | Identification and immigration status |
| Student visa | Identity and previous visa details |
| Court proceedings | Relevant identity or travel pages |
| Legal proceedings | Passport identity and supporting records |
| Employment verification | Identity page where requested |
| Background checks | Identity information |
| Bank / KYC process | Passport identification details where institution requires translation |
| Marriage / civil registration | Identity details or passport copy |
| Residence registration | Identity and immigration-status pages |
The exact requirement comes from the institution—not from the fact that the document happens to be a passport.
If foreign-language passport pages are being submitted to U.S. Citizenship and Immigration Services (USCIS) as supporting evidence, USCIS’s general foreign-language-document rule applies.
Under 8 CFR §103.2(b)(3), supporting documents that are not in English must be accompanied by a full English translation, and the translator must certify that the translation is complete and accurate and that they are competent to translate from the foreign language into English.
DHS reaffirmed this requirement in August 2026, including the requirement for translator certification.
USCIS does not impose a general notarization requirement under its standard translation rule.
The central requirements are the full English translation + certification of completeness and accuracy + translator competence.
Therefore:
USCIS certified translation ≠ automatically notarized translation.
If another document or specific procedure separately requires notarization, that is a different requirement.

Translation requirements, document acceptance, certification format and the passport pages required are determined by the receiving immigration authority, embassy, court, university, employer, bank or other institution. Applicants should therefore follow the instructions for their specific procedure rather than assume that one translation format works everywhere.
Summary:
Yashvi Translation provides specialized certified translation services in India for passports, focusing on biodata pages, visa stickers, residence permits, and entry/exit stamps. The service is designed for individuals navigating immigration, citizenship, and international legal proceedings. A critical feature of their service is the “page-specific” assessment, where they advise clients on translating only the necessary evidentiary pages rather than the entire document. They maintain strict identity standards, ensuring that names, passport numbers, and dates match the original exactly, and follow ICAO Doc 9303 standards for transcribing the Machine Readable Zone (MRZ) rather than translating it as prose.
The content outlines precise compliance pathways for major international authorities. For the United States, they adhere to USCIS rule 8 CFR §103.2(b)(3), providing the required certificate of accuracy and translator competence (noting that notarization is not a standard USCIS requirement). For Canada (IRCC), they ensure the translation of foreign-language stamps and seals, which are often overlooked. The service also accommodates UKVI (UK) requirements for verifiable professional translations and Australian Home Affairs guidelines for overseas translators. Notably, they provide expert guidance for Spain and Germany, distinguishing between standard certified translations and the “Sworn Translation” (Traductor Jurado) system required for specific national visas.
Yashvi Translation employs a 7-step workflow that includes an initial requirement assessment (identifying the specific destination authority), professional translation, and a rigorous identity cross-check. They emphasize ethical translation practices, stating that a translation must never “improve” a document by altering expired dates, changing official identity spellings, or omitting unfavorable immigration stamps. Pricing and turnaround times are determined by the complexity of the content, such as the number of handwritten annotations or faint border stamps. The agency supports a vast array of language pairs, including major Indian regional languages and international languages like Arabic, Chinese, and Russian.
Not automatically. Translation is normally relevant when passport pages being submitted contain information outside the language accepted by the visa authority. Check the requirements for your specific visa and the particular pages you need to provide.
Usually not where all information required by the authority is already clearly provided in English. However, relevant foreign-language visas, endorsements or stamps on current or previous passports may still need translation.
Yes, if that is the only page required by the receiving authority. If the authority also requests previous visas, entry/exit stamps or observations, those pages should be assessed separately.
They may need translation when they are submitted as evidence and contain relevant information in a language that the receiving authority does not accept. IRCC, for example, expressly requires foreign-language stamps and seals on translated supporting documents to be translated.
If a foreign-language passport page is submitted to USCIS as evidence, USCIS’s general rule requires a full English translation certified as complete and accurate together with certification of translator competence.
USCIS’s standard translation rule does not impose a general notarization requirement. It requires the appropriate translator certification.
UK immigration rules require certified translation for relevant documents that are not in English or Welsh. Current Home Office guidance specifies the required accuracy statement, date, name/signature and contact information. Whether a particular passport page requires translation depends on what is being submitted.
Translations completed in Australia generally require a NAATI-accredited translator. For translations completed outside Australia, current Home Affairs guidance for several visa categories permits overseas translators but requires their full name, address, telephone number, qualifications and language experience to be shown. Always check your exact visa instructions
Do not assume self-translation will be accepted. Requirements depend on the authority. For example, IRCC places restrictions on who may translate application documents, while USCIS requires a translator to provide the prescribed certification.
The Machine Readable Zone is standardized structured passport data. Its information should normally be accurately preserved or transcribed rather than rewritten as ordinary translated prose. ICAO Doc 9303 governs the international machine-readable passport format and representation of names in the MRZ.
The translator should not guess. Genuinely illegible content should be identified appropriately while all readable information is translated accurately.
Yes. An expired passport can be translated when it is required as evidence of identity, past visas, residence or travel history. Translation does not restore or extend the validity of the passport.
Only if the receiving authority requires the whole passport or all relevant pages. In many cases, only specified biodata, visa, endorsement or immigration-stamp pages are needed.
No. A certified translation concerns the translated language content. A certified true copy concerns whether a copy corresponds with the original passport. An authority can require one or both.
Not merely because you are applying for a Spanish visa. Current Spanish Consulate Mumbai Schengen guidance asks for passport and relevant page copies without imposing a blanket requirement to translate an Indian passport into Spanish. Other Spanish administrative procedures may have different requirements.
